Terms & Conditions

2026/2027

These Booking Conditions set out the responsibilities of Apollo Snow Adventures LTD (“we,” “us,” or “our”) and your responsibilities as a customer (“you”) when you use our services. By making a booking, you agree to be bound by these Terms & Conditions, subject to your statutory rights under Irish and EU law.


1. Booking & Payments

Deposits

To secure your booking, a minimum non-refundable deposit of €150 per person is required. Deposits are retained to reserve your place on your selected trip.

All deposits and payments made are non-refundable except where required by applicable Irish or EU consumer protection law.

Payment Schedule

Your outstanding balance and payment deadlines will be displayed during the booking process and confirmed in your confirmation email.

If booking within the balance deadline period, full payment is required at the time of booking.

The remaining balance must be paid by the date specified in your confirmation email. Failure to pay on time may result in cancellation and loss of deposit.

Payment Methods

All payments must be made by credit or debit card.

No card payment fees apply.

We do not accept American Express, cash, cheque, or bank transfer payments.


2. Cancellations & Amendments

Cancellation charges may apply up to 100% of the total booking cost, except where statutory rights provide otherwise.

If we cancel your booking for reasons within our control, you will be offered a full refund or suitable alternative arrangements in accordance with Irish/EU law.

Amendments requested by you may incur administrative or supplier-imposed charges.

No refunds will be issued for unused services.


3. Packages & Third-Party Suppliers

Apollo Snow Adventures acts as an organiser and/or intermediary in arranging accommodation, lift passes, transfers, equipment hire, instruction, and other travel services.

Where independent suppliers are used, those suppliers provide their services in accordance with their own terms and conditions. These terms form part of your contract with us. Some supplier terms may limit or exclude liability in accordance with applicable international conventions.

Copies of relevant supplier terms are available upon request.

While we coordinate your holiday arrangements, third-party providers remain responsible for delivering their contracted services. Remedies for service deficiencies may need to be pursued directly with the relevant supplier where appropriate.


4. Insurance & Liability

Travel Insurance

Comprehensive travel insurance is mandatory for all passengers.

For skiing or snowboarding holidays, insurance must include adequate winter sports cover, including medical expenses, mountain rescue, piste closure, and repatriation.

If you purchase winter sports insurance through Apollo Snow Adventures, a 14-day cooling-off period applies from the date of booking. After this period, insurance cannot be cancelled or amended.

If arranging your own insurance, you must provide the insurer name and policy number upon request.

We do not verify the suitability of your insurance policy and accept no responsibility for insufficient cover.


Liability

Nothing in these Terms excludes liability for death or personal injury caused by our negligence, fraud, or any liability that cannot legally be excluded.

Where services are not performed or are improperly performed due to:

  • Failures attributable to a third party unconnected with the provision of the contracted services;

  • Unusual and unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even with all due care;

  • Events which we or our suppliers could not foresee or prevent even exercising all due care;

we will provide prompt assistance where reasonable in the circumstances.

Such assistance may include help in locating refreshments, accommodation, or communication facilities. However, where delays or disruptions are not caused by us, our employees, or subcontractors, we are not responsible for covering associated costs.

Airlines or transport providers may be responsible for providing meals, accommodation, or compensation under applicable regulations (including EU Regulation 261/2004), and any claims should be made directly to them.

We will not be liable for costs incurred without our prior authorisation where alternative arrangements are made independently.

Our liability (other than for death or personal injury caused by negligence) is limited to the maximum extent permitted by law.

We reserve the right to require signed waivers where appropriate. Refusal to sign may result in cancellation without refund.


5. Minimum Participant Numbers

Some trips require a minimum number of participants.

If minimum numbers are not reached, we reserve the right to cancel the trip and offer:

  • A full refund; or

  • Alternative arrangements where available.

Your statutory rights remain unaffected.


6. Transfers & Name Changes

Bookings may be transferred to another suitable person who meets all conditions of travel, subject to:

Name Changes

  • No fee for name changes made more than 42 days before departure.

  • €80 administration fee for name changes within 42 days of departure (plus any supplier fees).

Waiting List

Where a waiting list exists, we reserve the right to allocate available places to the next person on the list. In such cases, you may not nominate your own replacement.

If no suitable replacement is found, cancellation charges will apply.


7. Health, Entry & Medical Requirements

You are responsible for meeting all passport, visa, vaccination, customs, and health requirements for your destination.

We cannot be held liable if you fail to comply with official entry requirements.

Medical Conditions & Disabilities

You must disclose any medical condition, disability, or special requirement at the time of booking.

We will make reasonable efforts to accommodate participants with medical needs where possible.

We may request medical certification confirming fitness to participate in winter sports activities.

Failure to provide accurate or updated information may result in cancellation and applicable charges.


8. Conditions of Carriage

All transport services (including flights, trains, coaches, and ferries) are subject to the conditions of carriage of the relevant carrier and applicable international conventions.

Our responsibility is limited to transfers directly arranged by Apollo Snow Adventures.

EU passenger rights legislation applies where relevant.


9. Photography & Filming

By travelling with Apollo Snow Adventures, you consent to being photographed, filmed, or sound recorded as part of group activities or events without compensation.

You agree that such recordings may be used in promotional materials, printed publications, presentations, advertising, and across digital or social media platforms worldwide.

All intellectual property rights in such materials remain the property of Apollo Snow Adventures LTD.

If you do not wish to appear in promotional media, you must notify us in writing prior to travel.


10. Data Protection & Privacy

We process personal data in accordance with applicable Irish and EU data protection legislation, including the General Data Protection Regulation (GDPR).

Your booking is subject to our Privacy Policy, which explains how we collect, use, and store your personal data.

By booking with us, you acknowledge that you have read and understood our Privacy Policy.


11. VAT & Taxation

All continental holiday prices are quoted inclusive of VAT where applicable.

Certain arrangements may fall under the Tour Operators Margin Scheme (TOMS) for VAT purposes. Under TOMS, VAT is accounted for on the margin and separate VAT invoices cannot be issued.

Where prices are quoted exclusive of VAT (if applicable), a VAT invoice may be provided. In all other circumstances, VAT reclaim is not possible.


12. Accuracy of Information

Information published on our website, marketing materials, or social media is believed to be accurate at the time of publication.

Images are illustrative and may not reflect exact room layouts or facilities.

Facilities not directly operated by Apollo Snow Adventures may change without notice.


13. Governing Law

These Terms & Conditions are governed by the laws of Ireland.

Any disputes arising from or relating to these Terms shall fall under the exclusive jurisdiction of the Irish courts.
